# Family and staff fund apps: contributions, requests and transparency

[FLUIDS Digital](https://fluids.digital/about) Published 1 November 2026 7 min read

The short answer

A family or staff fund app keeps the records of a shared fund in one place: who contributed each month, which support requests were made, how the committee decided them, and what was paid out. Members contribute and request, a treasurer confirms contributions and records disbursements, and a committee approves requests under rules the fund agreed. The money normally stays in the fund's own bank account; the app organizes and reports, it does not need to hold funds.

## Key takeaways

- A jam'iya rotates the pool to every member in turn; a family or staff fund accumulates contributions and pays out on approved requests.
- Three roles cover most funds: a treasurer who confirms money in and out, a committee that decides requests, and members who contribute and request.
- Support requests need a written workflow: submission, committee review, a recorded decision with a reason, and a recorded payout.
- Members should see the fund's overall picture, while the details of individual requests stay with the committee.
- Savings-circle patterns such as scoped groups, invitations, monthly records, receipts and notifications carry over directly to fund apps.

## What a family fund or staff fund is, and how it differs from a jam'iya

A family fund (صندوق العائلة) or staff fund (صندوق الموظفين) is a shared pot that members pay into regularly and that pays out when a member needs support, under rules the group agreed. Families use them for emergencies, weddings, bereavements and helping relatives in difficulty; staff funds in companies cover similar occasions among colleagues.

The difference from a jam'iya (rotating savings circle) is the direction of the money. In a jam'iya, every member receives the pool once, on a fixed schedule. In a fund, contributions accumulate, and payouts depend on requests and decisions. Some members may never receive anything, which is the point: the fund is a safety net, not a savings plan.

| | Jam'iya | Family fund | Staff fund |
| --- | --- | --- | --- |
| Who receives | Every member, once, in turn | Members whose requests are approved | Employees whose requests are approved |
| Contribution | Fixed amount per share each month | Regular dues, sometimes in tiers | Regular dues, sometimes deducted by agreement |
| Key decision | The turn order | Approving requests | Approving requests |
| Who decides | The organizer, with the group | A treasurer and a family committee | A committee of employees, sometimes with HR |
| Lifetime | Ends after the last turn | Ongoing | Ongoing, with members joining and leaving |

Some funds are informal arrangements; others are registered entities with bylaws and reporting duties. If yours is registered, check those requirements before designing reports, because the app should produce what the fund already has to provide.

## Which roles a fund app needs: treasurer, committee and member

A fund app needs at least three roles, because the people who handle money, the people who decide and the people who contribute should not all have the same powers.

- **Member.** Sees their own contribution record, the fund's overall reports and the status of their own requests. Submits requests and uploads receipts for their contributions.
- **Treasurer.** Confirms contributions against the fund's bank account, records disbursements with their receipts and prepares the period's figures. Usually one or two trusted people.
- **Committee.** Reviews requests, discusses them privately and records decisions. A small group, often three to five people, sometimes including the treasurer.
- **Chair or administrator.** Invites members, assigns roles and manages the fund's settings. In a small family fund this may be the treasurer.

Two permission rules prevent most problems. First, no single person should both approve a request and record its payment without anyone else seeing it; separating approval from disbursement is basic financial hygiene. Second, a committee member who submits a request, or whose immediate family member does, should be excluded from deciding it, and the app can enforce that automatically.

## How contributions are recorded in a fund app

Contributions in a fund app work almost exactly like payments in a jam'iya app: one record per member per period, a status, and a receipt attached to the period it belongs to. That is why a savings-circle product is a good starting point.

Jameyatek, the savings-circle organizer FLUIDS designed and built, records each member's status every month as paid or not paid, lets a member upload a receipt as optional proof attached to that month, and shows the group's overall commitment rate to everyone in it. Members join directly or through an invitation link, and each member sees only their own group's data. A fund app needs the same building blocks.

A few things change. Funds often have contribution tiers, for example different dues for working and non-working members, which resemble Jameyatek's half, full and double shares in structure but serve a different purpose. Funds run indefinitely, so the record needs periods that continue rather than a fixed number of months. And members leave and join, so the app must keep a departed member's history without counting them as late. Receipt checks follow the same steps described in [tracking jam'iya payments](https://fluids.digital/blog/savings-group-payment-tracking).

## How a support request and approval workflow works

A support request workflow turns a sensitive personal conversation into a consistent, recorded process. The fund's rules decide what can be requested and how much; the app makes sure every request follows the same path.

1. **The member submits a request**, choosing a type the fund supports (for example an emergency, a wedding or a bereavement), the amount requested and an optional supporting document.
2. **The app checks eligibility rules** the fund defined, such as being a member for a minimum period or being up to date with contributions, and shows the member why a request cannot proceed.
3. **The committee is notified** and reviews the request in a private space that ordinary members cannot see.
4. **The committee records a decision**: approved, approved for a different amount, or declined, always with a short reason. Members excluded by a conflict of interest do not vote.
5. **The treasurer pays outside the app**, from the fund's bank account, and records the disbursement with its receipt.
6. **The member is notified** at each step, and, if the support is a loan to be repaid, a repayment schedule is created and tracked like contributions.

Whether support is given as a grant or a loan, and on what terms, is the fund's policy. People with questions about whether a particular arrangement is permissible should ask qualified scholars; the app records the policy the fund adopted.

Requests often involve health, family or financial hardship. Limit access to the committee, avoid collecting more detail than the decision needs, and treat documents as sensitive personal data. In Saudi Arabia the Personal Data Protection Law (PDPL) applies; confirm specifics with qualified counsel.

## What reports a family or staff fund should publish to members

Fund reports should let every member check that the fund is run properly without exposing any individual's circumstances. Transparency about totals and privacy about people are not in conflict; they apply to different data.

- **Contributions this period:** how many members contributed and the overall commitment rate, in the same spirit as the commitment rate Jameyatek shows to a savings circle.
- **Disbursements by category:** totals for emergencies, weddings, bereavements and loans, without names.
- **Fund position:** the balance of the fund's bank account as reported by the treasurer from the bank statement, with the date of that statement.
- **Open loans:** the total outstanding and how much was repaid in the period, again without names.
- **Annual summary:** a printable statement the committee can share or file, especially if the fund is a registered entity.

Note the wording of the fund position. The app reports the bank account's balance as the treasurer recorded it; it does not hold a wallet balance of its own. That keeps the product on the organizer side of the line explained in [building a fintech-adjacent app without holding money](https://fluids.digital/blog/fintech-app-without-holding-money).

## Building a fund app from savings-circle patterns

Jameyatek itself is a savings-circle tool, not a fund manager. What carries over is its set of patterns, which already solve the hardest parts of a fund app's foundation:

| Pattern in Jameyatek | How it extends to a fund app |
| --- | --- |
| Every jam'iya in one place | One account for a member who belongs to a family fund and a staff fund |
| Members see only their own group's data | Members see their own fund; committee-only spaces for requests |
| Invite by link | Inviting relatives or employees, with the administrator approving join requests |
| Month-by-month payment tracking | Contribution records per period, continuing indefinitely |
| Receipts attached to the month | Receipts for contributions, and for disbursements recorded by the treasurer |
| Chat and notifications | Notifications for each step of a request; a group channel for announcements |
| Visible commitment rate | Contribution rate in the period report |

What is new is the request and approval workflow, the separation of treasurer and committee permissions, and the reports. A sensible first release covers members, roles, contributions with receipts, requests with committee decisions and a simple period report; loans and annual statements can follow once the fund has used it.

## Frequently asked questions

**What is a family fund app?**

It is an app that records a family fund's contributions, support requests, committee decisions and payouts in one place, with reports that members can check. The fund's money normally stays in its own bank account.

**Can Jameyatek be used to run a family fund?**

Jameyatek is designed for rotating savings circles, not funds with requests and approvals. Its patterns, such as scoped groups, invitations, monthly records and receipts, are a strong basis for building a dedicated fund app.

**Who should approve support requests in a staff fund?**

Usually a small committee chosen under the fund's rules, separate from the person who records payments. Committee members with a conflict of interest should not decide that request.

**Can members see who received support?**

A well-designed fund app shows members totals by category, not names. Request details stay with the committee, because they often involve sensitive personal circumstances.

**Can FLUIDS build a family or staff fund app for us?**

Yes. We start from your fund's rules, roles and reporting needs, then scope a first release. Scope, price and timeline are agreed in a written proposal before development.
